Who we are

This website is run by Truflow Ventilation Ltd ("we", "us"), a ductwork and ventilation contractor registered in England and Wales. We are the data controller for the personal information described in this policy.

This policy explains what we collect, why we collect it and what your rights are under UK data protection law (the UK GDPR and the Data Protection Act 2018). If you have any questions, contact us at admin@truflowvent.com.

What we collect

We collect the following information when you get in touch with us:

  • Your name, company name, job title, email address and phone number when you use our contact form, email us or call us.

  • Details of your project or enquiry, including site addresses, drawings and specifications you send us.

  • Your CV, work history, qualifications and trade cards (such as CSCS or SKILLcard) if you contact us about work.

Our website also uses cookies, which collect basic technical details such as your IP address, browser and the pages you visit.

How we use it

We use your information to:

  • Reply to your enquiry and prepare quotes and tenders.

  • Carry out, manage and invoice work.

  • Consider you for work if you have contacted us about it.

  • Meet our legal, tax, insurance and health and safety obligations.

  • Keep our website secure and understand how it is used.

The law requires us to have a valid reason for using your information. We rely on our legitimate business interests (replying to enquiries, running the business and keeping the website secure), our contracts with you, and our legal obligations. We ask for your consent before setting any non-essential cookies.

We do not sell your information or use it for marketing without your permission.

Who we share it with

We only share your information where we need to:

  • Service providers that run our website, email, file storage and IT systems.

  • Professional advisers such as our accountants, insurers and solicitors.

  • Clients, main contractors and suppliers where it is needed to price or carry out a project.

  • Authorities such as HMRC or the Health and Safety Executive, where the law requires it.

Some of these providers store data outside the UK. Where that happens, we make sure it is protected by safeguards approved under UK law.

How long we keep it

We keep your information only for as long as we need it:

  • Enquiries that do not lead to work: up to 12 months.

  • CVs and work enquiries where no work is offered: up to 6 months.

  • Project, contract and financial records: at least 6 years after the project ends.

How we protect it

We store information on password-protected systems and secure cloud storage, and only people who need it for their work can access it. No website or email system is completely secure, but if a breach puts your information at risk we will tell you and the Information Commissioner's Office as the law requires.

Cookies

Cookies are small files stored on your device. Essential cookies make the site work and are set automatically. Analytics cookies, which show us how visitors use the site, are only set if you accept them in the cookie banner. You can change your choice at any time through the banner or your browser settings.

Your rights

You have the right to:

  • Ask for a copy of the information we hold about you.

  • Ask us to correct anything that is wrong or incomplete.

  • Ask us to delete your information or limit how we use it.

  • Object to how we use your information.

  • Withdraw your consent at any time, for example for analytics cookies.

To use any of these rights, contact us using the details above. There is no charge, and we will reply within one month.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
